ABOUT THE POSITION:

The Executive and Administrative Coordinator contributes to the effective operation of the Association by supporting day-to-day administrative and organizational functions, coordinating meetings and events, and providing direct assistance to the Executive Director. The role also supports Board and committee activities and other organizational processes that serve SCA and its member cities.

This role requires managing multiple projects and deadlines, coordinating with internal and external stakeholders, and contributing to accurate, timely communications and records. As part of a small, collaborative team, the Executive and Administrative Coordinator must be adaptable, detail-oriented, and comfortable in a fast-paced, changing environment. This hybrid position requires regular in-office presence each week and attendance at meetings held throughout King County. This position reports directly to the Chief Operating Officer.

EXAMPLE OF DUTIES:

  • Manage the Executive Director’s calendar, including scheduling, prioritization, and timely adjustments;
  • Coordinate meetings on behalf of the Executive Director by arranging logistics, sequencing meetings for efficiency, accounting for travel time, and ensuring timely follow-up until confirmed;
  • Coordinate organizational meetings and events, including arranging venues, tracking registrations and attendance, processing cancellations and refunds in accordance with policy, addressing participant inquiries, and preparing printed materials such as name tags and programs;
  • Attend Board meetings, committee meetings, networking events, and membership meetings, preparing notes or minutes as required, in compliance with OPMA and PRA requirements;
  • Assemble, format, and distribute meeting materials in digital or physical format, as appropriate;
  • Assist in daily office operations, including management of office supplies inventory and mail distribution;
  • Monitor the general SCA phone line and email inbox, directing inquiries to appropriate staff as necessary;
  • Maintain accurate Association member lists and distribution lists, ensuring timely updates and accuracy;
  • Draft, format, and distribute communications to SCA distribution lists on behalf of the organization, ensuring messages are accurate, professional, and sent to the appropriate recipients;
  • Assist with administrative tasks related to finance and HR, such as processing invoices, tracking expenses, or onboarding new employees;
  • Support organizational culture by coordinating periodic wellness and recognition activities for staff;
  • Support organizational processes that advance the work of SCA and its member cities, including the annual committee appointment process and special projects;
  • Other duties as assigned.

EXPERIENCE, QUALIFICATIONS, KNOWLEDGE, SKILLS:

  • Two or more years of progressively responsible administrative or executive support experience, preferably in a government, nonprofit, or member-based organization;
  • Proven ability to provide direct support to executives or senior staff, including managing complex calendars, coordinating meetings, and preparing materials;
  • Demonstrated ability to take initiative, anticipate needs, and carry projects through with limited supervision;
  • Excellent verbal and written communication skills, with strong attention to detail in composition, spelling, grammar, and punctuation;
  • Ability to work professionally, collaboratively, and with discretion when interacting with Association members, elected officials, external partners, and staff;
  • Strong organizational skills with the ability to manage multiple projects, meet deadlines, and adapt to changing priorities;
  • Background or experience working with elected officials desirable; local government experience a plus;
  • Familiarity with Open Public Meetings Act (OPMA) and Public Records Act (PRA) helpful;
  • Experience coordinating meetings and events, including logistics, communications, and participant engagement, desirable;
  • Proficiency with Microsoft 365 applications (Word, Excel, PowerPoint, Outlook, SharePoint) and Adobe Acrobat.

WORK SCHEDULE:       

The Executive and Administrative Coordinator is a full-time, exempt position and is not eligible for overtime under the Fair Labor Standards Act. The typical workweek is Monday through Friday, with the ability to cover evening, early morning, and occasional weekend meetings as needed. The schedule allows flexibility to balance these hours within a standard full-time workweek. A valid driver’s license and reliable transportation are required, as is a willingness to travel throughout the county for meetings.

SALARY & BENEFITS:

Salary is commensurate to experience, with a starting range of $68,000 – $72,200. SCA pays 100% of medical, dental, and vision premiums for eligible employees. Extremely generous vacation and paid sick leave.
